How Space Booking Approvals Work in Othership with Office 365 Integration?
Understanding the Booking Approval Workflow in Othership with Office 365
The booking process in Othership is designed to ensure a seamless and transparent experience for both bookers and space administrators. Here's how the approval workflow functions:
-
Booking Initiation
When a user places a booking through Othership, the space is immediately marked as 'Booked', indicating that a request has been submitted for that time slot.
-
Approval Request Sent
An automated email is triggered by Office 365 (O365) and sent to the space approver (admin), requesting them to approve or reject the booking.
-
Pending Notification to Booker
At the same time, O365 sends an email to the user who placed the booking, informing them that their request is currently pending approval.
-
Approval Outcome – Accepted
If the space admin approves the request, the booking remains confirmed in Othership. An email is then sent to the booker to notify them that their booking has been officially accepted.
-
Approval Outcome – Rejected
If the admin rejects the booking, it is automatically cancelled in Othership. The booker is promptly informed via email that their booking has been declined.
-
Booking Lock During Approval
While a booking is awaiting approval, Othership locks the requested space, preventing other users from booking the same room for that time slot until a decision is made.
Summary
With this integration, Othership ensures that:
-
Booking requests are captured and routed efficiently.
-
Approvers are promptly notified via O365.
-
Bookers are kept informed at every stage.
-
Space conflicts are minimized through smart locking.
This setup is ideal for organizations that require approval-based access to shared workspaces while leveraging their existing O365 environment.
